When a customer has several invoices waiting to go out, SynkedUP automatically groups them into a statement — one summarized document that covers all of them.
You don't have to use it. But when you do, it saves your customer from getting six separate emails, and saves you from chasing six separate payments.
⚠️ Note: Statements are only available when you're using SynkedUP Payments. If you're invoicing through QuickBooks, statements will not be created.
Where to find them
Go to Invoicing in the left sidebar and click the Invoices tab (the second tab). Here you'll find all your unpaid invoices, plus your paid invoices for your records.
How a statement gets created
This happens automatically. Any time you create an invoice, SynkedUP checks whether that customer has other invoices that have already been created but not yet sent. If so, it joins them together into a statement.
Click the plus (+) button beside a statement to expand it and see everything inside. A statement might cover 10 different jobs for the same customer.
What you can do with a statement
Once invoices are grouped, you have options:
Send the statement — the customer gets one document with all of those invoices on it.
Take payment on the statement — if they call in with a check or credit card, you can pay the whole statement right from here.
You don't have to use the statement
This is the part worth knowing: a statement is a convenience, not a commitment.
Expand the statement, click on any individual invoice inside it, and handle it on its own. The moment you send that invoice by itself, it drops out of the statement and becomes an independent invoice — so a statement of 10 becomes a statement of 9, and that one invoice is tracked and paid separately from then on.
The rest stay grouped. Use the statement, use the individual invoices, or mix the two — whatever fits the customer.
When statements are especially handy
Statements shine with HOAs and commercial accounts — anywhere one payer is behind multiple properties or multiple jobs.
For example, if you handle maintenance for a McDonald's franchisee who owns six different locations, that owner probably doesn't want six invoices in their inbox. A statement puts everything on one document for them.
💡 Tip: Statements only pull in invoices that haven't been sent yet. Once an invoice goes out the door, it stands on its own and won't be swept into a statement later.
