Overview
SynkedUP handles several notifications automatically, but some common workflows — like emailing a client when their job is scheduled, or alerting the owner when a crew marks a job complete — aren't built in natively. Here's what's automatic, what's not, and how to fill the gaps.
What SynkedUP does automatically
Proposal emails — When you send a proposal, the client receives an email with a link to view and approve it.
Automated follow-ups — SynkedUP can send automated follow-up emails to clients who haven't responded to a proposal. Set this up in Proposal Settings → Email Templates.
Invoice emails — When you send an invoice, the client gets a notification with a payment link.
Payment confirmations — If you're using SynkedUP Payments, clients receive a receipt when a payment processes.
What isn't automatic (and what to do instead)
"My job is scheduled" notification to the client
SynkedUP doesn't currently send an automatic email to the client when you schedule their job on the calendar. The workaround most teams use is to send a manual email or text directly from the job. You can set up an Email Template in Proposal Settings with your standard scheduling message, which makes this quick to fire off.
If you're on a SynkedUP PRO subscription, you can connect SynkedUP to your email tool via Zapier to fully automate this — triggering a client email whenever a job event is created on the calendar.
"Job complete" alert to the owner
When a foreman marks a job complete in the mobile app, there's no automatic push notification or email sent to the office. The recommended workflow is to have your foreman use the Job Notes feature to leave a completion note, which you can review from the web app. SynkedUP PRO subscribers can set up a Zapier automation to watch for job status changes and send an email alert to the owner.
Setting up automated follow-up emails (native)
Go to Proposal Settings → Email Templates
Create or edit a template for your scheduling confirmation message
Use the Automated Follow-Ups setting to define timing and trigger conditions
Using Zapier for advanced automation (PRO plan)
SynkedUP PRO subscribers have access to the Zapier integration, which opens up a wide range of automation options. Common setups include:
Client notification when a job is scheduled
Owner/office alert when a job status changes to "Complete"
