SynkedUP's calendar uses filters to display different types of data, such as:

  • Scheduled Events: Tasks or projects planned for specific dates.

  • Clock-In Times: Actual times when the crew clocks in for a job.

If both filters are enabled, you may see two entries for the same job: one for the scheduled event and another for the clock-in time. To avoid confusion, review and adjust your calendar filters as needed.

Common User Actions Leading to Issues

Certain user actions can inadvertently create duplicate entries, such as:

  • Dragging a project onto the calendar multiple times.

  • Using the scheduling pop-up to create separate events instead of a single multi-day schedule.

To prevent this, ensure that you are scheduling projects correctly and avoid duplicating actions.

System Indicators and Their Meanings

SynkedUP uses visual indicators to highlight specific issues:

  • Orange Triangle with an Exclamation Mark: This indicates "No visit recorded." It typically appears when the crew clocks in by searching for the job instead of starting from the Scheduled tab in the mobile app.

"No Visit Recorded" β€” Why It Happens and How to Fix It

The "No visit recorded" flag (orange triangle) shows up on the calendar when the crew's time entry isn't linked to the scheduled calendar event. This usually happens when the crew clocks in by searching for the job in the mobile app instead of opening it from the Scheduled tab.

When this happens, the time still gets recorded (you'll see the correct remaining hours when you open the job), but the calendar doesn't recognize it as a visit against the planned event.

Do I have to fix it?

Not always. The "0" on the mobile Timesheets screen and the orange triangle on the calendar are display issues β€” the underlying time still recorded correctly. If the job's hours look right on the desktop job summary, your data is fine.

The only reason to fix it is if you want the orange triangle to clear from the calendar β€” that's a visual cue, not a data issue. The time still counts toward the job, payroll, job costing, and invoicing, since those all use the recorded hours, not the calendar link.

How to prevent it going forward

Have your crew always start their timer by tapping the job from the Scheduled tab in the mobile app β€” not by searching for the job name. This ensures the visit is linked to the calendar event automatically.

How to fix a job that already shows "No visit recorded"

There is currently no way to manually link an existing visit to the calendar event after the fact. To fix it, you'll need to:

  1. Delete the visit that the crew created (the one they started by searching for the job).

  2. Re-create the visit by starting it from the scheduled event on the calendar.

This will properly link the time entry to the calendar event and clear the orange triangle.

Note: Make sure to record the same clock-in/clock-out times when re-creating the visit so your job hours stay accurate.

Follow these steps to resolve duplicate or unexpected entries on the calendar:
