Hey guys! Hope everyone had a great week. We are bringing you our latest release notes. Hope you enjoy the new improvements and updates that have happened over the past few weeks.

Web App:

  • Made Cost Code and Division fields mandatory

  • Added Canned Responses for Consultations

  • Resolved issue with dragging and dropping items from the Item Catalog into a Workarea

  • Added "Enter Receipt" in Job Costing

  • Item names can be overridden in Visits and Invoicing, just like we allow in Workareas

  • Copied the New Customer info layout to Tickets

  • Consultations are listed in a table list view, just like Projects

  • Added additional details to the Items Summary report in the Visits tab

  • Updated Invoicing to accommodate Actual Item Changes

Mobile App:

  • Built a new "Items Summary" view to show ALL items across all workareas in a single view

  • Built ability to add a new Actual Item from the "Items Summary" (all items from the entire project) view

  • Addressed the issue with the app not loading the latest version after an OTA update

  • Added an "additional" toggle in the mobile app Edit Item Screen and Labor Screen to flag any actual items/labor as "additional" so they can be billed accordingly.


Web App


Made Cost Codes and Division fields mandatory

We weren't requiring a User to select a Cost Code or Division field when creating a New Task/Workarea (in all project types) and this was causing issues later (in the calendar) when a Division wasn't selected. Now, a Division field has been added and you must select a Cost Code and Division from the drop-down to be able to add that Task/Workarea. Once you have done so, you will notice that the "Add task" or "Workarea" button appears blue instead of shaded.


Added Canned Responses for Consultations

We added a Canned Responses Feature for scheduling Consultations. You can access and edit these Canned Responses in System Setup. This allows Users to quickly select a Canned Response from a dropdown in the Consultation Scheduling Popup to prepopulate the summary, event description, and email description.


Resolved issue with dragging/dropping items from the Item Catalog into a Workarea

We had an issue with dragging/dropping the first item into a new Workarea. It would only add the Item if the User double-clicked on that Item. This issue is resolved.


Add "Enter Receipt" in Job Costing

We added the ability to add actual items to a job the same way you get them in the real world: a receipt. The idea is that you get a receipt from a vendor for a job you did. You now want to log that receipt as an expense against this job. Instead of adding actual items a la carte, you can now create a new receipt, and add those actual items within that receipt. This streamlines the process in a way that allows you to record the data (actual items and their costs) the same way you get the data (paper or emailed receipts) in the real world.

You can access this feature by going to any project and clicking on the Costing & Analysis tab.

You can add a new receipt by clicking on the blue Add New Receipt button

You can then add items to this receipt, and enter their associated costs


Item names can be overridden in Visits/Invoicing, just like in Workareas

Item names can now be overridden in Visits and Invoicing. If you click on an Item a popup will appear where you can then edit that Item name.


Copied the New Customer info layout to Tickets

We had previously made the following updates to Projects and now have copied that info over into Ticket:

  • Customer Name(s)

  • Customer Address

  • Property Address

  • Property County/Municipality

  • Phone(s)

  • Email(s)

  • Google Maps of Property Location


New section for Consultations

You can now view all Consultations in the system in a list.


Added additional details to the Items Summary Report in the Visits tab

We added these additional details to the Items Summary report in the Visits tab of all jobs:

  • Renamed "Items Summary" button to "Job Summary"

  • Added a panel in the popup to show Labor hours by each entry and show the total labor hours at the bottom of the quantity column

  • Added dynamic toggles to filter workareas and visits (just like job costing screen)

  • Adjusted the printable PDF to accommodate these changes: Show Labor Hours and Total Price of that Labor, honor the Workarea Filters, and show the Total Price of all included items.


Updated Invoicing to accommodate Actual Item Changes

Accommodated the new actual item types for web entry and receipt items to be included in invoicing.


Mobile App


Added a new Items Summary feature to show ALL Items from all workareas in a single view

The purpose of this view is to give the User access to a view where he can see the total quantities of a specific item across all workareas.

These are the new functions:

  • Tab between Estimated and Actual view of all Items from all workareas.

  • Added a search box in the upper section of this view that filters the items shown below.


Built ability to add items from the Items Summary view

After building an Estimated/Actual "Items Summary" view from all Workareas, our next task was to build the ability to add Actual Items directly from that screen. See changes below:

  • User can enter the "Items Summary" view or any Workarea

  • Then tap the small orange + button in the lower right corner

  • Pops the Item Catalog Browser

  • Can then search and add an Item

  • Enter quantity and save

  • This workflow is the same function as a manual web entry in the Costing & Analysis tab in the web app


Added an "additional" toggle in the Edit Item Screen and Labor Screen

We added a new toggle to flag an actual Item as "additional" in the Edit Item Screen and Labor Card in CTW (CTW is the clocking out of a job workflow). Flagging an item as "additional" exempts it from the pricing type logic of whether you can mark it as billable or not. The purpose of this is to easily flag items as additional so office personnel can properly bill for any "additional" work staff may have completed while on site for a different task.

(Example: Service Technician goes out to take care of an unbillable issue at a customer's property, but then while there, also does some work that is billable. Service Technician can flag those items as "additional" so office personnel knows to bill for those items separately.)
